…. Simple, event-based pricing
Traditional payroll providers charge you a base fee plus a per-employee fee every month, even when nothing changes. SamePayroll keeps one flat subscription that covers your whole roster — you pay extra only for the change events you actually use

The pricing difference
Traditional payroll tools bill people, not events. We bill the subscription and the events — that’s the whole model.
Per-employee model
Base fee + per-employee fee × number of employees
Our model
Flat subscription + change events used
Illustrative example: a stable 15-person team that made two staff changes this month. Traditional tools still bill a per-employee fee for all 15 heads on every cycle; SamePayroll bills the flat subscription plus those two change events only.
What counts as a change event
A change event is a one-time setup, removal or mid-cycle adjustment to a person’s payroll. Running this month’s payroll for your existing team never counts.
Adding someone to payroll for the first time, including their W-4, setup and direct deposit.
Removing a departing employee, processing final pay and separation paperwork.
Updating hourly rates, salaries, bonuses or commission structures mid-cycle.
Enrolling or changing health benefits, 401(k), garnishments, attachments or pre-tax deductions.
Updating filing status, allowances, withholding or exemption elections.
Registering and setting up payroll in a new state or locality for an employee.
Always included: regular pay runs for your existing team — standing hours, rates and deductions, tax filings tied to the current roster, and pay stub delivery. Standing up your current roster costs nothing per head.
See it in action
Run payroll, review employee items and download reports from a clean portal — your finance team gets clarity without the payroll back-and-forth.

Period, pay date, gross amount and status on one card — confirm the cycle before anyone is paid.
Download the payroll report, send it to your client, duplicate a quarter or compare periods from the same screen.
Earnings, PTO hours, PTO pay and contractors managed individually — nothing slips through the table.
Track filings, deposits and compliance alerts alongside the roster, all in one workspace.

“Our team has very few staff changes, so we heavily rely on the pre-batch discount to stabilize payroll costs. We evaluated other payroll tools, but their platforms don’t reward businesses with steady payroll cycles.”

Common questions

We handle the migration: your roster, pay rates, deductions and tax setup are mapped before your first run. Initial account setup is included on Pro and Premier; a specialist walks you through cutover and your first scheduled pay period.
Every plan includes recurring payroll processing for your current roster, federal, state and local tax filing and deposit, standard payroll reports and standing support. Change events beyond your plan’s monthly allowance are billed at the per-event rate shown on the plan card.
Choose a plan or contact sales. A specialist confirms your roster size and change volume, sets up your account, schedules your first batch, and answers any migration questions before you go live.
The plans above apply to most small and mid-sized businesses. Professional-services firms with multi-state staff or multiple entities should start on Pro, or contact sales for a Premier quote tailored to their change volume.
